Van hire Guide
Hiring a van or minibus (or any vehicle) for the first time can be a daunting prospect.
We've put together this guide to make the process as easy as possible.
Before you hire
There are lots of places to hire a van... us included!

Some have hidden charges, so it's important to know your costs upfront.

Vehicle Pick-Up
Collecting your vehicle is a straightforward process, you can help speed it up by having the correct paperwork and information ready.
Before your hire collection
Please send us a copy of your driving licence and NI number (or share code) at least 24 hours before your collection
When to Arrive
Please allow 15-20 minutes for any paperwork checks and payments to be completed.
Hire periods run from 8am to 8am the following day.
What to bring
- Valid Driving licence
- National Insurance number or DVLA Licence Share Code
- Additional form of ID Utility bill, bank statement or passport
- Method of payment
Payment
The total cost of your hire includes
- Deposit
- Vehicle hire
- Extras: Additional driver(s) / Collision waiver
The deposit will be available once the vehicle has been checked back into our system.
Vehicle hand-over
Once we've completed the checks, we'll take you out to the vehicle to do the handover and ask you to sign the agreement. (A copy of the agreement is emailed to you)
We check the mileage, full level, overall condition of van and for any new damage.
We photograph the vehicle as a record of condition before you take it, you are welcome to photograph or video the vehicle for your own records.
Before you drive away
Once you sign the agreement, you are responsible for the vehicle.
Take a few moments to familiarise yourself with the controls before you head off.
Once you're happy, you're good to go!
Vehicle Return
Refuel the vehicle
The vehicle must be filled until the pump 'clicks' - filling only to the 'full line' may result in additional charges.
If you have driven less than 75 miles - please hand us the fuel receipt or leave on the vehicle dashboard.
Empty the vehicle
Please check you haven't left your phone or charger cables plugged in to the dashboard.
Standard return
- Please park outside the office or in our rear yard
- Please return the keys to a member of staff in the office
Out-of-hours return
If the office is closed when you return the vehicle:
- Please park in our rear yard
If you have left a car here - please move your car and put our van in the parking space. - If the gate is locked please use the keypad and enter the code provided at vehicle pick-up.
- Please lock the van and post the keys into our key return box.
PLEASE DO NOT BLOCK ANY OTHER VEHICLES IN WHEN PARKING THE VAN
Deposit refund
We do not store your card details - so you must contact us to provide your card details and request the refund. Please contact us after 12pm so we have had a chance to process your vehicle return.
The deposit can take up to 3 working days to show in your account (dependent on your bank)
We will contact you if for any reason the full deposit can not be refunded. E.g. Not refuelled, damage.
